How to Set Up an Email Account in Microsoft Outlook

Overview

This article explains how to configure your email account in Microsoft Outlook, covering versions 2007, 2010, 2013, 2016, and 2019. You can set up your mailbox using automatic or manual settings (IMAP or POP3) to access your emails securely and reliably.

Notes
Use IMAP if you want to sync emails across multiple devices.
Use POP3 if you want emails downloaded and stored on a single device.
Ensure SSL/TLS is enabled for secure communication.
Contact support if you're unsure of your mail server or port settings.
Make sure your domain and email account are already active before proceeding with the configuration.

Configure Email Account in Outlook 2019

Automatic Setup

  1. Open Microsoft Outlook 2019.
  2. If no accounts are configured, click + Add Account on the Account Information page.
    If you already have an account, go to File > Info > + Add Account.
  3. Enter your Email Address and Password, then click Connect.

Manual Setup (IMAP or POP3)

If automatic setup fails:

  1. Select Change Account Settings > click Next.
  2. Choose POP or IMAP > click Next.

IMAP Settings:

  • Incoming Mail Server: mail.yourdomain.com
  • Port: 993
  • Encryption: SSL/TLS
  • SPA: Unchecked
  • Outgoing Mail Server (SMTP): mail.yourdomain.com
  • Port: 465 or 587
  • Encryption: SSL/TLS or STARTTLS
  • SPA: Unchecked

POP3 Settings:

  • Incoming Mail Server: mail.yourdomain.com
  • Port: 995
  • Encryption: SSL/TLS
  • SPA: Unchecked
  • Outgoing Mail Server (SMTP): mail.yourdomain.com
  • Port: 465 or 587
  • Encryption: SSL/TLS or STARTTLS
  • SPA: Unchecked
  1. Enter your password again and click Connect.

Configure Email Account in Outlook 2010/2013/2016

  1. Go to File > Info > Account Settings > Account Settings.
  2. On the Email tab, click New.
  3. Select Manual setup > POP or IMAP > click Next.
  4. Fill in:
    • Incoming/Outgoing Mail Server: mail.yourdomain.com
    • Username: your full email address
    • Password: your password
  5. Click More Settings:
    • Outgoing Server Tab:
      • Check My outgoing server requires authentication
      • Select Use same settings as incoming mail server
    • Advanced Tab:
      • Use SSL encryption
      • IMAP port: 993, POP port: 995
      • SMTP port: 465 (or 587 with STARTTLS)
  6. Click OK > Next.

Test Account Settings

  • Click Test Account Settings.
  • If successful, click Close > Finish.
  • If there’s an error, contact support and share a screenshot of the settings and error message.

Configure Email Account in Outlook 2007

  1. Open Outlook 2007.
  2. Go to Tools > Account Settings.
  3. Click the Email tab > New.
  4. Select Microsoft Exchange, POP3, IMAP, or HTTP > click Next.
  5. Check Manually configure server settings > click Next.
  6. Choose Internet E-mail > click Next.
  7. Fill in your info:
    • Your Name: Your display name
    • Email Address: [email protected]
    • Account Type: POP3 or IMAP
    • Incoming/Outgoing Mail Server: mail.yourdomain.com
    • Username: your full email address
    • Password: your password
  8. Click More Settings:
    • Outgoing Server Tab:
      • Enable My outgoing server requires authentication
      • Select Use same settings as my incoming mail server
    • Advanced Tab:
      • IMAP port: 993 (SSL)
      • POP port: 995 (SSL)
      • SMTP port: 465
      • Check Leave a copy of messages on the server (optional)
  9. Click OK > Test Account Settings > Next > Finish
