LS Suite Email Migration Tool

Overview

The LS Suite Email Migration Tool allows you to easily transfer your email messages from your old server or provider to LS Suite.
It works for both single account migrations and bulk migrations (via CSV upload) directly from your LS Suite client area.

This tool:

  • Transfers all your messages from your old server.
  • Preserves the folder and subfolder structure from the source account.
  • Supports a scheduled second run to capture any messages received during the migration process.

For a smooth experience, ensure your current email service supports IMAP access.

Limitations

  • Calendar, Trash, Spam, and Junk folders are not migrated.
  • Messages larger than 50MB are not transferred.
  • Maximum 500 accounts per CSV file.
  • Up to 5 migrations can be scheduled at the same time.

Step 1: Choose Migration Type

You can choose between:

  1. Single Account Migration – migrate one email account by entering its credentials.
  2. Bulk Migration – migrate multiple email accounts at once by uploading a CSV file in the required format.

Key Elements

Source Server Type: select the correct source server type from the dropdown menu. This tells our tool how to connect to your old email provider.

  • Standard-SSL: Use this for most standard email providers that use a secure, encrypted connection (SSL/TLS) for IMAP access. This is the most common and recommended option.
  • Standard no SSL: Use this only if your old email provider does not support a secure IMAP connection. This is less common and not recommended due to security risks.
  • Standard-SSL-8botFix: This is a specific preset for servers with a known IMAP protocol issue. If a migration with “Standard-SSL” fails, try this option.
  • Standard-SSL-Vianova: This is a preset optimized for migrating from Vianova's email service.

Performing a Single Account Migration

  1. Go to your LS Suite service page in the Client Area.
  2. Under Management, click Migration Tools.
  3. Click New MigrationSingle Account.
  4. Select your Source Server Type (e.g., Standard SSL, Gmail, Office 365).
  5. Next, fill in the following details
    • Destination Email: The LS Suite email address where you want the data migrated.
    • Source Server: The IMAP server address of your old provider (e.g., imap.example.com or IP).
    • Source Username: The full email address for the source account.
    • Source Password: The password for the source email account.
  6. Click Submit Migration.

Performing a Bulk Migration

  1. Click New MigrationBulk Migration.
  2. Select your Source Server Type.
  3. Prepare a CSV file in the exact format:
    • destination-email: The LS Suite destination email.
    • source-server: IMAP server of your old provider.
    • source-email: Username for the source account (can be the email address).
    • source-password: Password for the source account.
    • masteruser (Optional): used only if your old server supports IMAP Master User authentication.
    • from_date (Optional): migrate only messages after this date (YYYY-MM-DD).
  4. Upload the CSV file.
  5. Click Submit Migration.

Notes:

– No headers should be included
– You can download a Sample CSV from the migration page.
– The final two semicolons must be present in the CSV file, even if the final two optional components (masteruser and from_date) were not entered.

Example of CSV Format:

destination-email;source-server;source-email;source-password;;

After a successful migration, you will receive an email notification containing a summary report of the migration results.

Migration Scheduling

When creating a migration:

  • First Execution: Runs the initial transfer of all messages.
  • Second Execution: Runs automatically scheduled to be performed 24 hours after the first execution completes. This captures any new messages received on the old server between the first and second runs. Recommended after updating your MX records to LS Suite.

Step 2: Changing MX Records

This section is for users who have not yet configured their domain's MX records to point to LS Suite and are still receiving new emails on their old server. 

Update your domain’s MX records to LS Suite once the first run completes to ensure all new incoming emails are delivered to your LS Suite account moving forward. Check the How to Point DNS Records for LS Suite Manually article for more information.

The second migration will run automatically on the scheduled date/time to capture any emails that were received on your old server between the time the first migration finished and when your updated MX records are propagated in the network.

Managing Migrations

  • View Progress – See your migration list with status, type, number of accounts, and execution times.
  • Delete – Cancel a scheduled migration or delete Failed/Completed migrations to clear the migration list page. (not possible if it’s already running).

Common Errors

  • Authentication failed – Check email address/password and IMAP server settings.
  • IMAP not supported – Ensure your old provider supports IMAP access.
  • Incorrect server – Use the server’s IP if the hostname doesn’t work.
